Managing Your Guest List
Getting your guest names into the system is simple and flexible. We support two methods, so you can choose whichever feels more comfortable.
Manual Entry
The simplest approach is typing names directly into the guest list text box. Just enter one name per line, exactly as you want it to appear on the cards. As you type, the guest count updates automatically so you always know how many cards you're creating.
This method works great for smaller events (under 30 guests) or if you're still finalizing your guest list and making frequent changes.
CSV Upload
For larger guest lists or if you already have your names in a spreadsheet, uploading a CSV file is much faster. You can drag and drop your file onto the upload area or click to browse for it.
Our system reads your CSV file and extracts the names automatically. If your file has a header row (like "Guest Name" or "Name"), we'll detect that and skip it. If your CSV has multiple columns, we'll use the first column for the names.
After uploading, all your guest names appear in the text box, where you can still make edits if needed. Maybe you want to change how someone's name is formatted, or you notice a typo. It's all editable even after importing.
Create your CSV with one name per row in the first column. If you're using Excel or Google Sheets, just save your file as CSV format. Make sure each name is spelled exactly as you want it to appear on the cards, including any special characters or accents.
The Generation Process

What Happens When You Click Generate
When you click the "Download PDF" button, a drawer slides up smoothly from the bottom of your screen. This isn't just a loading spinner. It's a progress indicator that shows you exactly what's happening.
The drawer goes through several stages:
- Initializing: The system prepares to process your design
- Loading guest list: Your names are being formatted and organized
- Applying design settings: All your customizations are being applied to each card
- Rendering place cards: Individual cards are being created with your design
- Formatting for Avery 5302: Cards are being arranged in the proper layout for printing
- Finalizing PDF: Everything is being compiled into a single, print-ready file
A progress bar fills as each stage completes, giving you visual feedback. The whole process takes about 10 seconds, during which you can see the subtitle text update to tell you what's happening.
After Generation Completes
When your PDF is ready, the drawer updates to show a green checkmark and displays a "PDF Ready!" message. A download button appears prominently. Click it to download your file.
The file downloads directly to your browser's default download location, just like any other file you download from the web. It's named "avery-5302-place-cards.pdf" so you can easily identify it.
After downloading, the drawer automatically closes. If you want to generate the PDF again (maybe you made a small change), just click the button again and the whole process repeats.
Understanding the PDF Format
The PDF we generate is specifically formatted for Avery Template 5302. This means it's designed to work perfectly with Avery 5302 place card sheets, which you can buy at any office supply store or online.
Each page of your PDF contains 8 place cards arranged in a 2-column by 4-row grid. The cards are positioned exactly where they need to be so when you print on Avery 5302 sheets, everything lines up perfectly.
If you have 20 guests, your PDF will have 3 pages (16 cards on the first two pages, 4 cards on the last page). The system automatically calculates how many pages you need based on your guest count.
Table numbers increment automatically. The first 8 guests are assigned Table 1, the next 8 are Table 2, and so on. This works perfectly if you're seating 8 people per table. If your tables hold a different number of guests, you can manually adjust the table numbers before generating your PDF.
